Workflow Mechanics

Multi-Party Signing Lifecycle

Step 01

Reusable Template Design

Upload an existing PDF or blank page, place interactive fields (Text, Signature, Checkbox, Date), and capture precise X/Y coordinates relative to an A4 canvas.

Step 02

Document Preparation & Assignment

Select a saved template, configure document metadata, assign recipient emails, or trigger directly via bulk ERPNext Sales/Purchase Invoices.

Step 03

Multi-Party Dispatch

Automated notification dispatch routes access links to all assigned signers while maintaining tracking records in the document inbox.

Step 04

Recipient Action (Sign or Reject)

Recipients open the document, complete required fields, and submit drawn/uploaded signatures OR reject with mandatory reason logging.

Step 05

Backend PDF Processing

Python backend processes document changes using backend PDF libraries, positioning field values via captured coordinates, and optimizing print buffers.

Step 06

Multi-Party Completion Rule

The workflow tracks each recipient individually and evaluates completion condition: marked completed ONLY when 100% of assigned recipients have signed.

Architectural Breakdown

System Layers & Technical Design

Client & UI Layer

React TypeScript interface, layered HTML A4 canvas with X/Y coordinate mapping, signature drawing canvas, and document status tracking.

Services & Logic

Python backend services, backend PDF-processing library, multi-recipient completion evaluator, and email notification dispatcher.

Storage & Persistence

Document records, attachments persistence, reusable templates, signature collections, and recipient status logs.

Problem & Solution

The Engineering Challenge & Solution

The Engineering Constraint

Handling multi-recipient assignment where all parties must sign before completion, capturing accurate field X/Y coordinates on multi-page A4 documents, and eliminating PDF preview/print flicker.

The Technical Solution

Engineered a layered HTML canvas over A4 dimensions for precise coordinate capture, built a strict multi-party workflow status evaluator, and optimized backend PDF rendering buffers to eliminate preview flickering.

Deliverables

Production Impact & Delivered Capabilities

Built page-based A4 template editor supporting Text, Signature, Checkbox, and Date fields with coordinate capture

Enforced multi-party completion rule where documents close only after all assigned recipients sign

Integrated signature drawing canvas, image upload, and saved signature reuse interface

Connected ERPNext/Frappe for bulk signing operations on Sales and Purchase Invoices

Optimized PDF print and preview rendering buffer pipelines to eliminate UI flickering
